This DMM Gmail Account Privacy Addendum supplements the Privacy Policy of Executor Navigator, LLC DBA Independence Navigator (“Independence Navigator”) and describes how Independence Navigator accesses, uses, stores, and shares information from Gmail accounts that clients designate for Daily Money Management (“DMM”) services.

If this Addendum and the general Privacy Policy address the same use of Gmail data, this Addendum provides the more specific description of Independence Navigator’s practices regarding that data.

DMM Gmail Account

As part of our DMM services, you may create or designate a Gmail account specifically for DMM-related correspondence (your “DMM Gmail Account”).

The DMM Gmail Account is intended to serve as a dedicated inbox for invoices, notices, statements, and other DMM-related correspondence sent by the billers, service providers, financial institutions, professional advisors, and other trusted parties whose communications you want Independence Navigator to receive and handle as part of your DMM services. You may provide the DMM Gmail Account address to these parties so that they can send DMM-related correspondence directly to the account.

The DMM Gmail Account is not intended to serve as your general-purpose or personal email account. Because the account is established or designated specifically for DMM-related correspondence, Independence Navigator generally treats email received by the account as potentially relevant to the DMM services you have authorized.

In accordance with your DMM service agreement and the authorization you provide, authorized Independence Navigator personnel and our secure automated systems may access and read all email and attachments received by your DMM Gmail Account.

How We Access and Use Gmail

Email received by your DMM Gmail Account may be accessed and processed by Independence Navigator’s secure automated systems and authorized personnel for purposes of providing your DMM services.

Because the DMM Gmail Account is a dedicated account intended for DMM-related correspondence, our systems may initially process and transfer any email received by the account to secure Independence Navigator systems for review. This approach helps reduce the risk that important DMM-related correspondence is inadvertently overlooked.

The DMM Gmail Account may occasionally receive unsolicited, promotional, spam, or other correspondence that does not require DMM handling. Independence Navigator personnel or automated systems may identify such messages so that they do not require further processing or retention within Independence Navigator’s systems. Independence Navigator does not delete these messages, or other email, from your DMM Gmail Account.

Authorized Independence Navigator personnel can review and process email within secure Independence Navigator systems without requiring direct access to your DMM Gmail Account. This process is intended to limit direct access to the Gmail account to the personnel and systems that require such access.

Depending upon the DMM services you have authorized, Independence Navigator may:

• access and read email and attachments received by the DMM Gmail Account;

• copy or transfer email and attachments to secure Independence Navigator systems for review and processing;

• identify messages that do not require further DMM-related handling;

• apply labels to messages in your DMM Gmail Account to indicate their processing or review status; and

• send or forward email when necessary to perform DMM services you have authorized.

Independence Navigator does not delete email from your DMM Gmail Account.

Sharing With Parties You Have Authorized

If you have designated a bill-payment service to process invoices on your behalf, Independence Navigator may forward relevant invoice email and attachments to that service.

Independence Navigator may also share relevant email or attachments with other parties you have designated or authorized when doing so is related to the subject of the correspondence and is necessary to address a DMM-related matter you have authorized Independence Navigator to handle on your behalf.

Independence Navigator does not sell Gmail data or use or share Gmail data for advertising, marketing, data brokerage, determining creditworthiness, lending, or other purposes unrelated to providing the DMM services you have authorized.

Service providers used by Independence Navigator to operate, secure, or maintain its systems may process Gmail data only as necessary to provide those services to Independence Navigator and subject to appropriate confidentiality and security requirements.

Human Access to Gmail Data

Your authorization of Independence Navigator’s DMM services includes your affirmative authorization for authorized Independence Navigator personnel to review DMM-related email and attachments as necessary to provide those services.

Independence Navigator limits human access to Gmail data to authorized personnel who require that information to perform DMM services you have requested or to operate and secure those services.

Data Retention and Deletion

Independence Navigator retains copies of DMM-related email and attachments only for as long as reasonably necessary to provide DMM services, maintain appropriate business records, comply with applicable legal and contractual obligations, resolve disputes, and protect the rights and interests of you and Independence Navigator.

When retained Gmail data is no longer reasonably necessary for these purposes, it is securely deleted from Independence Navigator’s systems in accordance with Independence Navigator’s data-retention practices.

You may request deletion of Gmail data retained by Independence Navigator by contacting us at [CONTACT INFORMATION]. We will honor such requests except to the extent that retention is reasonably necessary to comply with applicable legal or contractual obligations, maintain required business records, resolve disputes, or establish, exercise, or defend legal claims.

Deletion of data retained within Independence Navigator’s systems is separate from deletion of email from your DMM Gmail Account. Independence Navigator does not delete email from your DMM Gmail Account.

Security

Independence Navigator uses administrative, technical, and organizational safeguards designed to protect Gmail data against unauthorized access, disclosure, alteration, or destruction.

Access to Gmail data is limited to authorized personnel and systems that require the information to provide, operate, or secure the DMM services you have requested.

Revoking Gmail Access

You may revoke Independence Navigator’s access to your DMM Gmail Account at any time through your Google Account settings.

Revoking access prevents Independence Navigator’s automated systems from continuing to access your Gmail account and may prevent Independence Navigator from providing DMM services that depend upon that access.

Revoking Gmail access does not automatically delete copies of messages or attachments previously transferred to Independence Navigator systems. Those records are retained or deleted in accordance with the Data Retention and Deletion provisions above.

Google API Services User Data Policy

Independence Navigator’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

General Privacy Policy
